BUSINESS TRAVEL COORDINATOR

Primary Objective:
To research, negotiate, make payment for and book professional, accurate, cost-effective travel arrangements for all corporate (non-team) travel and Team travel within team guidelines and standards for excellent customer service.
Corporate travel customers include: Staff, team consultants, executives and owner, All-Star game and league meeting attendees, sponsor trips, new hire relocations, and half-time acts. Team travel customers include: Scouts for NBA Rockets and WNBA Comets, Team Members (Players), and all staff associated with Basketball Team operations.
ESSENTIAL DUTIES and RESPONSIBILITIES:
• Completes travel arrangements for above customers with air, hotel, rental car, temporary housing, and ground transportation vendors at the lowest possible fares/rates and in accordance with the team’s policies and financial targets/budgets. Utilizes preferred vendors to maximize savings for the Team.
• Establishes and follows efficient procedures, guidelines and standards in the areas of building passenger records and profiles, ticketing, accuracy of work, invoicing, etc.
• Completes all functions related to servicing the corporate or team customer, including ticket processing, administrative functions, prepaid tickets, debit memos, etc.
• Researches and provides solutions to travel-related problems customers may have experienced with arrangements.
• Is fully informed and stays abreast of all airline rules and regulations, tariffs (domestic) and other industry requirements and accurately applies this information when making travel arrangements.
• Negotiates effectively in getting the best value for all travel arrangements while maintaining and building superior and beneficial relations with vendors. Responsible for all final negotiations on team hotels.
• Completes all travel reconciliation accurately and timely. Tracks accounting and utilization of various points/rewards programs, unused tickets and credits, and Southwest Airlines (SWA) vouchers.
• Along with Finance Manager, also coordinates WNBA Comets player benefit program.
• Keeps immediate supervisor promptly and fully informed of all problems or unusual matters of significance and takes prompt corrective action where necessary or suggest alternative courses of action.
• Maintains a favorable working relationship with all other team members to foster and promote a cooperative and harmonious working climate, which will be conducive to maximum team morale, productivity and efficiency/effectiveness.
• Performs other duties as assigned.
QUALIFICATIONS:
Must possess and demonstrate:
• Thorough knowledge of travel industry rules including proficiency in the use of web-based travel programs such as Orbitz, Travelocity and airline websites
• High level self-motivation and ability to work independently
• Good decision-making skills
• Excellent oral and written communication skills and must be proficient in negotiation
• Good administrative ability and customer service/relations skills
• Computer literacy
• Ability to work quickly but efficiently
• Excellent attention to detail
• Outstanding organizational skill
